Within Florida and Outside Florida – 100 miles per day included/.48 cents per mile thereafter

Outside Florida – Subject to written management approval.

REAR & SIDE ENTRY WHEELCHAIR MINIVANS

Florida Residents and Non-Residents:

Within Florida- 150 miles per day included/.35 cents per mile thereafter

Outside Florida – 100 miles per day included/.48 cents per mile thereafter with written authorization by management ONLY

Pick Up & Drop Off Policy

Florida Van Rentals offers free shuttle transportation to and from the following airports:

  • Orlando International Airport (MCO)
  • Tampa International Airport (TPA)
  • Fort Lauderdale-Hollywood International Airport (FLL)

Pickup: After arriving at the airport, take the free shuttle to the vehicle pickup location. Shuttle distances may vary by airport (approximately 1–2 miles from the terminal).

Drop-Off: At the end of your rental, please take the free shuttle back to the airport on your departure date.

Cancellation & No-Show Clause

The Client may cancel a reservation at any time by submitting a cancellation request exclusively via e-mail. The e-mail submission is mandatory in order to officially register the exact date of the request.

For all cancellations and no-shows, a fixed fee of US$ 100.00 (one hundred dollars) will be applied to cover administrative costs. Any remaining balance paid toward the reservation will be stored as a credit in the Client’s name, valid for a period of one (1) year from the date of cancellation or no-show, and may be applied to a future rental. Please note that Florida Van Rentals does not issue refunds.


Privacy Policy

PRIVACY POLICY – FLORIDA VAN RENTALS. Thank you for considering renting a van or wheelchair accessible van with our company. Your privacy to protect your personal information. This privacy policy describes how we collect your data, use, and share your personal information when you rent a van from us. Collection of Personal Information: When you rent a van from us, we may collect the following personal information:  *Your name, address, phone number, email address, and drivers license number. * Your credit card information and/or other payment details. * Your age, date of birth, and any additional drivers information. We may also collect information about your vehicle usage, such as mileage and fuel consumption. Use of Personal Information: We use your personal information to:  *Process your rental van reservation and payment. *Provide you with customer service, including responding to your inquiries and requests. *Notify you about changes to our services or policies. * Improve our services and customer experience. * Prevent fraud and unauthorized transactions. * Comply with legal requirements. Sharing of Personal Information: We may share your personal information with third-party service providers that help us with our business operations, such as payment processors, insurance providers, and marketing agencies. We may also share your personal information with government agencies or law enforcement officials in response to a valid request or to comply with legal requirements. Your Choices: You can choose not to provide certain personal information, but this may affect our ability to provide you with our services. You may also choose to opt-out of marketing communications from us. Data Security: We take appropriate measures to protect your personal information from unauthorized access, use, or disclosure. We use industry-standard security technologies and procedures to safeguard your personal information. Data Retention: We retain your personal information only as long as necessary to fulfill the purposes for which it was collected, unless a longer retention period is required by law. Changes to this Privacy Policy: We may update this privacy policy from time to time. If we make any material changes, we will notify you by email or by posting a notice on our website.

 

Vehicle Reservations

In the event your reserved vehicle becomes unavailable (i.e. rental extensions, mechanical issues, vehicle involved in accident) Florida Van Rentals reserves the right to substitute a rental vehicle/s of equal or greater size and/or value.


Towing

TOWING – We do NOT allow towing/hitches on any of our vehicles

 

Currency

CURRENCY – Florida  Van Rentals accepts all major credit cards and debit cards, there will be an additional 3.5% processing fee. 

There will be a $250 deposit required prior to picking up your rental.

 

Rental Extensions

You are able to keep our rental vehicles longer than originally scheduled providing the vehicle is not already reserved for another rental customer. We do not accept verbal extensions (calling by phone, etc).  Please email reservations@floridavanrentals.com

 

Travel Agent / Tour Operator Commissions

Travel Agent Commission may be available by contacting Florida  Van Rentals at 407-438-8010  and speaking with a manager on duty 

 

Early Returns

Rental Vehicles returning earlier than the scheduled time on the rental agreement will not receive a refund or an open credit. Florida Van Rentals  does not, charge additional money for returning the vehicle early

 

Personal Belongings Left in Our Rental Vehicles

We are not responsible for ANY belongings left behind in our vehicles.

Any Items found in our vehicles will be returned at YOUR expense.

 

Price Match Request

Our Low Price Guarantee does not apply to services, nor does it apply to special offers or promotions, including rebates. All Billed reservations are final and are not eligible for a price match.

 

Mercedes Sprinters that run on Diesel Fuel

Any Customer that rents any of our Mercedes Sprinter Vans must fill up the vehicle with Diesel Fuel only.  If Customer puts gasoline in rental vehicle rather than Diesel Fuel this will void any insurance coverage for rental period and customer will be responsible for complete repair costs. 

 

Late Rental Returns

The following policy applies to rentals turned in after the designated return time:

We allow a 1 hour grace period on returning the vehicle, any vehicles returned more than 1 hour late shall be charged (1) additional day rent on the vehicle.

After 48 hours our late vehicle will be considered stolen and will be handled accordingly with the proper authorities.

 

Smoking

No SMOKING is allowed in any of Florida Van Rentals vehicles. There will be a $250.00 smoking fee should the rental vehicle have an odor of smoke in the rental vehicle. Customers will be responsible for any damage to any seats (Cigarette Burns). 

 

Drivers License

We require a current drivers license or temporary permit/license at time of rental. We will not accept an expired drivers license.

 

CHECK PAYMENTS – Personal checks or handwritten checks are not accepted for any reason. School, government, or institution checks are accepted providing FLORIDA VAN RENTALS receives the check a minimum of 14 days prior to the pickup date. FLORIDA VAN RENTALS will STILL REQUIRE a credit card authorization to be placed on file – this is for incidentals only and WILL NOT be charged unless vehicle is returned with less fuel, damage, etc..

 

Emergency Information

Our office will supply an emergency number at the time of rental should you need to speak with Florida Van Rentals outside of normal operating hours

 

Gas

The Fuel Level will be checked and confirmed from our office staff at the time of rental. The CUSTOMER is required to bring the rental vehicle back with the same amount of Fuel as when rented. Fuel discrepancies will be billed up to $10.00 US per gallon and this rate will be reflected on van rental contracts

 

Hours of Operation

We are open from 8:30AM – 5:30PM EST Monday through Sunday. Call our office for exact hours. We deliver on Sundays, and odd hours!  We Go The Extra Mile To Earn Your Business

 

Rims & Tires

Each one of our vehicles is equipped with a spare tire and a jack with lug wrench. It is the sole responsibility of the renter to replace the tire with the spare provided in case of a flat tire. 

We do not give flat tire replacement service. 

The renter is also responsible for the cost of the replacement tire. 

Unfortunately there is sometimes road hazard, but we cannot assume responsibility for the damage caused to the tires and rims. 

Please drive carefully.

 

Honor Reservations

Rental Rates are locked in and are  guaranteed at the time of booking. Price Rental increases and Price Rental decreases will not affect the rate that you have booked at. If a lower rate becomes available, you may receive the lower rate  if you are outside of 14 days of your pickup date. If you are within 14 days of your pickup date you must cancel and re-book the rental, cancellation fee of $100 will be applied. 

If you have a Pending Reservation this will need be finalized  through our office once we received the completed pdf form 

 

Spare Tire and Jack

Summons Payment Responsibility

The renter is fully and totally responsible for any parking, traffic, and E-Z PASS or SUN-PASS summonses during the time of the rental. If you ignore and do not pay any summonses you receive, we will be obligated to send your summonses to a company that charges a service fee to collect our tickets charges and bill you on YOUR credit card. Their fee is $40 over and above the fee for the summons plus any additional late fees or other service charges administered by Florida or any other municipality that issued the summons. This could cost you much more than the original ticket. So please don’t get a ticket, but if you do, please pay it timely in order to avoid all the other charges that you will have to pay anyway. If you try to avoid paying summonses, you will only pay much more later. There is no escape from paying summonses. Please take our advice. We know and we’re trying to help you. PLEASE PAY YOUR SUMMONSES. Thank You.

 

Prohibited Uses of Our Vehicles

Use of vehicle is limited to your personal use. You are not permitted to use the van to carry passengers or property for hire without prior authorization. To tow or push anything. To be operated in a test, race or contest or on unpaved roads, or while under the influence of alcohol or a controlled substance or for an illegal purpose including the transportation of a controlled substance or contraband or outside of the U.S.A. I am prohibited from removing any equipment from the vehicle. A violation of this paragraph automatically terminates my rental, makes me liable to you for loss of use, all the penalties, fines, forfeitures, liens and recovery and storage costs, including all related legal expenses.  

 

Pets in Rental Vehicle

No pets are allowed in any of our rental vehicles unless CRATED. It is the renter’s responsibility to ensure that the vehicle is clean and odor-free and has no signs of pet hair. Service animals are always allowed in Florida Van Rentals vehicles with proper notification and documentation. A $75.00 cleanup fee will be assessed to any vehicle with any signs of pet transportation.


Parking Fees

Customers are responsible for covering airport parking fees incurred during the pickup and drop-off process.

Parking fees may be paid directly at the airport parking lot or added to your final invoice, depending on the circumstances.

If you are charged for more than one day of parking at either pickup or drop-off, the additional amount will be reimbursed or credited back to your final bill, as appropriate. Please retain your parking receipt and provide a copy for verification.


Processing Fee Responsibility

Customers are responsible for any payment processing fees incurred at the time of payment. This fee will be automatically added to your total when completing your transaction.

Processing fees apply to payments made via credit card, debit card, or other electronic payment methods and are charged by the payment processor, not our company.

We are committed to transparency and appreciate your understanding as we continue to provide convenient and reliable payment options.


Out-of-State Travel Policy

All vehicles are restricted to operation within the state of Florida unless prior written approval is obtained. Certain states are prohibited due to insurance, safety, or contractual limitations.


Policy Terms:

  1. Approval Required:
    Travel outside the state of Florida is not permitted without express written authorization. Approval must be requested in advance and is not guaranteed.
  2. Approved States:
    Approved travel destinations are listed in the “Destination” section on our website at the time of booking. If your intended travel state is not listed, it is considered restricted and requires separate written approval.
  3. Prohibited States:
    Travel to any state not listed in the approved destinations is prohibited unless explicitly approved in writing. These restrictions are in place for insurance and operational reasons.
  4. Violation and Penalties:
    If we are notified, or otherwise discover, that a vehicle has left Florida without prior approval:
    • $600 Out-of-State Fee will be charged immediately.
    • Additional charges may apply based on the specific state traveled to, distance, and any incurred risks or recovery needs.
    • The customer may also be held responsible for any damages, recovery, towing, or legal costs resulting from unauthorized travel.

By booking a reservation and taking possession of the vehicle, the customer agrees to abide by this policy. Unauthorized out-of-state travel may result in immediate termination of the agreement and further action if necessary.


To ensure a smooth rental experience, we require that all balances be paid in full prior to the rental start date.


  1. Automatic Billing:
    The card on file will be automatically charged for the remaining balance of your reservation 15 days prior to your rental start date.
  2. Sufficient Funds:
    Please ensure that the card on file has sufficient funds and is valid at the time of billing. If the transaction is declined, we will contact you to resolve the issue. Failure to settle the balance promptly may result in cancellation of your reservation.
  3. Booking Within 15 Days:
    If your reservation is made within 15 days of the rental date, the full balance will be charged at the time of booking.
  4. Receipts & Confirmations:
    A payment receipt will be emailed to you once the charge is processed. You can also review your payment status by logging into your account or contacting customer support.

By placing a reservation, you authorize us to charge the card on file according to this policy.


Toll Transponder Policy

Florida Van Rentals provides toll transponders for your convenience.

  • Transponder Rental Cost (collected with rental):
    • 1–4 days: $2.50 per day
    • 5 or more days: $11.00 flat rental fee
  • Toll Charges: Any tolls incurred during your rental will be deducted from your security deposit after your trip.

This service allows you to use toll roads without stopping for cash, making your travel more convenient.


Child Safety Seat Policy

Florida law requires that all children ages 5 and younger be secured in a federally approved child restraint device while traveling in a vehicle.

  • Infants and toddlers (0–3 years): Must use a separate carrier or integrated seat.
  • Children ages 4–5: Must use a separate carrier, integrated seat, or booster seat.

Rental Information:

  • Florida Van Rentals offers child safety seats as optional add-ons for a fee; they are not provided for free.
  • Renters are responsible for the proper installation of any child safety seat.
  • For optimal safety, all children should ride in the rear seats of the vehicle.
