1. Reservations & Payments

• Reservations must be made under the renter’s legal name with valid contact

information.

• A 30% deposit is required at the time of booking to secure your reservation.

• The remaining balance is due 15 days prior to pickup.

• Reservations are non-refundable once confirmed. Eligible funds may be issued as a

credit in accordance with our cancellation policy.

• Customers are responsible for any applicable payment processing fees.

• Personal or handwritten checks are not accepted. School, government, or institutional

checks may be accepted if received at least 14 days prior to pickup.

2. Pickup & Drop-Off

Florida Van Rentals offers free shuttle transportation to and from the following airports:

• Orlando International Airport (MCO)

• Tampa International Airport (TPA)

• Fort Lauderdale-Hollywood International Airport (FLL)

3. Fuel Policy

• All vehicles must be returned with the same fuel level as at pickup.

• If fuel is missing, a $10 per gallon refueling charge will apply.

4. Mileage Policy

• Passenger Vans: Unlimited mileage when traveling within Florida. For out-of-state travel,

150 miles per rental day are included. Additional miles are charged at $0.48 per mile.

• Wheelchair-Accessible Vans: 150 miles per rental day are included for both in-state and

out-of-state travel. Additional miles are charged at $0.35 per mile.

5. Late Returns

• A 1-hour grace period is allowed. After that, the customer will be charged for one (1)

additional rental day..

• Late returns without prior notice may result in additional fees, termination of future

rental privileges, and other remedies permitted under the Rental Agreement.• If a vehicle is not returned within 24 hours of the scheduled return time and the renter

has not obtained prior written authorization for an extension, Florida Van Rentals

reserves the right to report the vehicle as stolen or unlawfully retained to the

appropriate law enforcement authorities.

• Early returns do not qualify for credits, refunds, or rate adjustments for unused rental

time.

6. Cleaning & Smoking Policy

• A $250 cleaning fee will be charged for vehicles returned excessively dirty.

• Smoking and vaping are strictly prohibited. A $350 fee will be charged if evidence of

smoking is found.

• No pets are permitted in any of our rental vehicles unless CRATED. Service animals are

permitted if proper documentation is provided. Any signs of pet hair/odor a cleaning fee

will apply.

7. Insurance & Driver Requirements

• Drivers must be 25 years or older with a valid driver’s license.

• Proof of valid personal auto insurance, including the declaration page, is required prior

to pickup.

• University or organization rentals must provide a Certificate of Liability listing:

Florida Van Rentals Inc., 6307 Hansel Ave, Orlando, FL 32809 as additionally insured.

• Credit cards do not provide liability coverage and are accepted only as secondary

coverage for damages.

• Customers are responsible for understanding the coverage, limits, exclusions, and

deductibles of their personal insurance policy.

8. Roadside Assistance

• Emergency roadside assistance is available 24/7 for breakdowns or flat tires.

• Contact information is provided in your rental confirmation email.

9. Traffic Violations & Tolls• Renters are responsible for all tolls, parking tickets, and traffic violations incurred during

the rental period, including any applicable processing or administrative fees.

• Rental vehicles are equipped with toll transponders, and applicable toll and transponder

fees will be charged to the renter.

• Any unpaid tolls, tickets, or violations received after the rental period will be charged to

the credit card on file, along with any applicable administrative or processing fees.

10.Cancellations & No-Shows

Cancellations

• All cancellation requests must be submitted via email.

• A $100 cancellation fee applies to all cancellations.

• The remaining balance will be issued as a credit valid for one year from the cancellation

date.

• No refunds will be issued.

No-Shows

• Failure to pick up the vehicle as scheduled, or failure to communicate with Florida Van

Rentals regarding the reservation, will be considered a No-Show.

• All payments made will be forfeited and non-transferable.

• No refund or credit will be issued for No-Shows.

11. Vehicle Damage & Accidents

• Renters are responsible for any damage to the vehicle during the rental period,

regardless of fault.

• In case of an accident, contact Florida Van Rentals and local authorities immediately.

• Each of our vehicles come equipped with a spare tire and jack. The renter is responsible

for the cost of the replacement tire. Unfortunately, there is sometimes road hazard but

we cannot assume responsibility for the damage caused to the tires and rims. Please

drive carefully.

12. Child Safety Seats• Florida law requires all children ages 5 and under to be in an approved child restraint

device.

• Infant (0–3) and booster (4–5) seats are available as optional add-ons for a fee.

• Renters are responsible for proper installation of all safety seats.

13. Prohibited Uses

• Vehicles may not be used for towing, racing, off-roading, or commercial transport.

• Unauthorized drivers or misuse may result in immediate termination of the rental and

forfeiture of payment.

14. Parking Fees

• Customers are responsible for parking fee incurred during the pickup and drop-off

process. Payment for pickup will be made directly to the airport. Payment for drop-odd

will be deducted from your deposit

• If you are billed for more than 1 day at the time of pickup the remaining balance will be

credited back to your final bill as appropriate. Please retain your receipt and provide a

copy for verification.

15. Out of State Travel

• All out of state travel requires pre approval.

• There is a $600 fee for approved out-of-state travel.

• Travelers going out of state are responsible for any additional costs incurred while out of

state, including towing, storage, or other related expenses.

16. Personal belongings

• We are not responsible for ANY belongings left behind in our vehicles.

• Any Items found in our vehicles will be returned at YOUR expense.

17. Price match

• Our Low-Price Guarantee does not apply to services, nor does it apply to special offers or

promotions, including rebates. All Billed reservations are final and are not eligible for a price

match.

18. Privacy Policy• Florida Van Rentals is committed to protecting your privacy. We collect personal

information such as name, contact details, driver’s license, payment information, and

vehicle usage data to process reservations, provide support, prevent fraud, and meet

legal requirements.

• Information may be shared with trusted service providers or government agencies when

required by law. We use reasonable security measures to protect your information.

• You may opt out of marketing communications at any time. By using our services, you

agree to this Privacy Policy. Any updates will be posted on our website.

20. Airport Fees

Airport-related fees and concession charges may apply to rentals involving airport pickup, drop-

off, or airport-related services. These fees are subject to the requirements and rates of the

applicable airport and may change without notice.

21. Attorney’s Fees & Collection Costs

Customers are responsible for reasonable costs associated with collecting unpaid balances or

enforcing the terms of a rental agreement, including applicable collection, court, and attorney’s

fees, to the extent permitted by law.

Accident & Damage-Related Expenses

The renter may be responsible for costs resulting from an accident, damage, loss, or other

incident involving the rental vehicle. These costs may include repairs, towing, impound and

storage fees, administrative fees, diminished value, and loss of use while the vehicle is

unavailable for rental, subject to applicable insurance coverage and the terms of the rental

agreement.

Insurance Requirements

Valid proof of insurance, including the insurance declaration page, may be required before

vehicle pickup. If required insurance documentation is not provided, Florida Van Rentals may

require the renter to purchase available insurance coverage at the applicable rate before the

vehicle is released.

No Waiver

Florida Van Rentals’ failure to enforce any policy or provision does not waive our right to enforce

it in the future.

22. VEHICLE SWAP POLICY

Vehicle swaps are subject to availability and Florida Van Rentals’ approval. A swap is not

guaranteed simply because a customer requests a different vehicle.

Swaps may be approved when there is a mechanical, safety, or significant operational issue

with the current vehicle that cannot be resolved promptly.

Swaps generally will not be approved for personal preference, changing your mind, wanting a

different model or color, additional space, or features not included in the original reservation.

If a replacement vehicle is available and has a higher rental rate or additional fees, the

customer is responsible for the difference.

All vehicle swaps must be approved by Florida Van Rentals before the vehicles are exchanged.
